Terms and Conditions

Welcome to Armenic Tours. These Terms and Conditions explain the booking, payment, cancellation and other policies that apply to our tours and travel services in Armenia.

By booking a tour or travel service with Armenic Tours, you confirm that you have read, understood and accepted these Terms and Conditions. Please review them carefully before confirming your booking.

Booking and Tour Confirmation

A booking with Armenic Tours is considered confirmed once the traveler accepts the agreed itinerary and price, and Armenic Tours receives the required 30% deposit.

After receiving the deposit, we will confirm the booking and proceed with the necessary travel arrangements and reservations.

The remaining 70% of the total tour price must be paid no later than 14 days before the scheduled arrival date in Armenia. For bookings made within 14 days of arrival, full payment may be required at the time of confirmation.

Travelers are responsible for providing accurate personal and travel information required to arrange the booked services.

Prices and Payments

All tour prices are confirmed with the traveler before booking and are based on the services specified in the agreed itinerary.

A 30% deposit is required to confirm the booking. The remaining 70% must be paid no later than 14 days before the scheduled arrival date in Armenia.

Any additional services requested after confirmation may result in an additional charge. We will inform the traveler of any additional costs before making the requested arrangements.

Any bank transfer fees, payment processing charges or other transaction costs are the responsibility of the traveler unless otherwise agreed in writing with Armenic Tours.

Cancellation and Refund Policy

Cancellation by the Traveler

We understand that travel plans may change. If you need to cancel your booking, please notify Armenic Tours in writing as soon as possible.

Cancellation charges are calculated based on the date we receive your written cancellation and the total price of the confirmed tour.

• 30 days or more before arrival: 10% of the total tour price
• 15–29 days before arrival: 30% of the total tour price
• 7–14 days before arrival: 50% of the total tour price
• Less than 7 days before arrival: 100% of the total tour price
• No-show: 100% of the total tour price

Any non-refundable costs already paid or committed to third-party suppliers may also be deducted from the refundable amount. These may include accommodation deposits, tickets, transportation or other pre-booked services.

Where a refund is due, Armenic Tours will calculate the refundable amount after applying the relevant cancellation charge and any applicable non-refundable costs.

Cancellation or Changes by Armenic Tours

Armenic Tours makes every reasonable effort to operate tours and travel services as confirmed. However, circumstances may occasionally require us to change an itinerary, accommodation, transportation or other part of the booked services.

If a significant change is necessary before the tour begins, we will inform the traveler as soon as reasonably possible. Where appropriate, we will offer a suitable alternative of a similar standard.

If Armenic Tours cancels a tour before arrival for reasons within our control, the traveler will be offered an alternative arrangement or a refund of payments made for the affected services.

Armenic Tours is not responsible for changes, delays or cancellations caused by circumstances beyond our reasonable control. These circumstances are addressed under the Force Majeure section of these Terms and Conditions.

Refunds

Where a refund is applicable, Armenic Tours will calculate the amount according to the cancellation conditions stated above.

Approved refunds will be returned using the original payment method whenever reasonably possible. Any non-refundable third-party costs, bank charges, transfer fees or payment processing fees may be deducted from the refundable amount.

Refunds will normally be processed within 14 business days after the refund has been approved. The time required for the funds to appear in the traveler’s account may vary depending on the bank or payment provider.

No refund will be provided for unused services after the tour has started, including accommodation, transportation, excursions, meals or other services that the traveler voluntarily chooses not to use.

Changes Requested by the Traveler

Travelers may request changes to a confirmed booking, including travel dates, itinerary, accommodation or other services. Please submit any change request to Armenic Tours in writing as early as possible.

We will make reasonable efforts to accommodate requested changes. However, changes are subject to availability and cannot always be guaranteed.

Any additional costs resulting from a requested change will be communicated to the traveler before the new arrangements are confirmed. These may include price differences, supplier charges or other costs associated with modifying the booking.

If a requested change results in the cancellation of previously confirmed services, any applicable non-refundable supplier costs may also be charged.

Changes requested after the tour has started are subject to availability. Any additional expenses resulting from such changes are the responsibility of the traveler.

Passports, Visas and Travel Documents

Travelers are responsible for ensuring that they have a valid passport and all required visas, permits and other travel documents before traveling to Armenia.

Passport validity and visa requirements may vary depending on the traveler’s nationality and personal circumstances. Travelers should check the latest entry requirements with the relevant embassy, consulate or official government authority before departure.

Armenic Tours does not provide visa services and cannot guarantee the approval of any visa or entry permit.

Armenic Tours is not responsible for any loss, cancellation, delay or additional expense resulting from missing, invalid or incorrect travel documents, or from a traveler being refused entry by the relevant authorities.

Travel Insurance

Armenic Tours strongly recommends that all travelers obtain comprehensive travel insurance before their trip.

Travel insurance should provide appropriate coverage for trip cancellation or interruption, medical expenses, emergency assistance, personal belongings and other unexpected events that may affect the journey.

Travelers are responsible for selecting suitable insurance coverage based on their individual needs and circumstances. They should carefully review the terms, conditions and exclusions of their chosen insurance policy.

Armenic Tours is not responsible for costs or losses that could have been covered by an appropriate travel insurance policy.

Health, Safety and Traveler Responsibilities

Travelers are responsible for ensuring that they are physically able to participate in the activities included in their chosen itinerary.

Before booking, travelers should inform Armenic Tours of any mobility requirements, dietary needs or other circumstances that may affect the arrangements of the tour. We will make reasonable efforts to accommodate such requests where possible.

Travelers must follow reasonable safety instructions provided by Armenic Tours, tour guides, drivers, accommodation providers and other service providers during the trip.

Travelers are expected to behave responsibly and respectfully toward other travelers, local communities, cultural sites and service providers. Armenic Tours reserves the right to take appropriate action if a traveler’s behavior creates a serious safety risk or significantly disrupts the tour.

Travelers are responsible for any personal expenses, losses or damages resulting from their own actions or failure to follow reasonable safety instructions.

Accommodation, Transportation and Other Services

Armenic Tours arranges accommodation, transportation, guides, entrance tickets and other travel services according to the confirmed itinerary.

Hotels and other accommodation are subject to availability. If a confirmed property becomes unavailable, Armenic Tours may arrange suitable alternative accommodation of a similar standard whenever reasonably possible.

Transportation will be arranged according to the itinerary and the number of travelers. Travel times are approximate and may change due to traffic, weather, road conditions or other circumstances.

Some services included in a tour are provided by independent third-party suppliers, such as hotels, restaurants, transportation providers and attraction operators. These suppliers operate according to their own terms, schedules and operating conditions.

Armenic Tours will make reasonable efforts to ensure that all confirmed services are provided as agreed and will assist travelers if an issue with a travel service arises during the tour.

Force Majeure

Armenic Tours is not responsible for delays, changes, cancellations or failure to provide services when caused by circumstances beyond our reasonable control.

Such circumstances may include natural disasters, severe weather, fire, epidemics or public health emergencies, war, civil unrest, government actions or restrictions, border closures, strikes, transportation disruptions and other events that could not reasonably have been prevented or avoided.

If a force majeure event affects a confirmed tour, Armenic Tours will make reasonable efforts to provide suitable alternative arrangements where possible. Any additional costs resulting from such arrangements will be discussed with the traveler before they are confirmed whenever circumstances allow.

Refunds in cases of force majeure will depend on the amounts recoverable from hotels, transportation providers and other suppliers. Non-refundable costs already paid or committed to suppliers may be deducted from any refund due.

Liability and Limitations

Armenic Tours will exercise reasonable care in arranging and providing the travel services included in each confirmed booking.

Some services are provided by independent third-party suppliers, including hotels, transportation providers, restaurants and attraction operators. Armenic Tours will make reasonable efforts to select reliable suppliers and assist travelers if problems arise with the services included in their booking.

Armenic Tours is not responsible for losses, delays or additional expenses resulting from circumstances beyond our reasonable control, the actions of the traveler, or services arranged independently by the traveler.

Travelers are responsible for taking reasonable care of their personal belongings during the trip. Armenic Tours cannot accept responsibility for lost, stolen or damaged personal property unless the loss results directly from our negligence.

Nothing in these Terms and Conditions is intended to exclude or limit any rights or liability that cannot legally be excluded or limited under applicable law.

Complaints and Problem Resolution

If a problem arises during the tour, travelers should inform their tour guide or contact Armenic Tours as soon as possible. This gives us an opportunity to address the issue while the traveler is still in Armenia.

Armenic Tours will make reasonable efforts to resolve problems promptly and provide an appropriate solution where possible.

If the issue cannot be resolved during the tour, the traveler should submit the complaint to Armenic Tours in writing after the trip. Please provide relevant details and supporting information so that we can review the matter properly.

We will review written complaints fairly and respond within a reasonable period.

Privacy and Personal Information

Armenic Tours may collect personal information necessary to process bookings and arrange travel services. This may include contact details, travel information and other information required to provide the confirmed services.

We use personal information only for legitimate purposes related to bookings, communication and the delivery of travel services. Where necessary, relevant information may be shared with hotels, transportation providers, guides or other service providers involved in the traveler’s arrangements.

Armenic Tours takes reasonable measures to protect personal information and does not sell travelers’ personal information to third parties.

Governing Law and Jurisdiction

These Terms and Conditions and any booking made with Armenic Tours are governed by the laws of the Republic of Armenia.

If a dispute arises, Armenic Tours and the traveler should first make reasonable efforts to resolve the matter through direct communication and mutual agreement.

If a dispute cannot be resolved amicably, it will be handled in accordance with the applicable laws and procedures of the Republic of Armenia.

Nothing in these Terms and Conditions limits any mandatory rights available to travelers under applicable law.
